With Krock.io, you have full control over project statuses. Instead of using only the default ones, you can create, rename, delete, and reorder statuses to match your team’s workflow.
This guide explains how to manage statuses inside your workspace.
What Are Statuses?
Statuses help track the progress of stages in your projects. For example, you might use statuses like:
- In Progress
- Needs Changes
- Approved
Custom statuses give you the flexibility to adapt Krock.io to your team’s exact review and approval process.
How to manage statuses

Go to Workspace Settings
- Open your workspace.
- From the left sidebar, select Settings → Statuses Tab
Here you can:
- Create brand-new project statuses
- Rename existing statuses
- Delete statuses you don’t use
- Reorder statuses to match your workflow
How to delete a status:
- Click the trash icon next to the status.
⚠️ Important: If you delete a status, all stages currently using it will switch to No Status.
Who can manage statuses?
Only Administrators and Managers can create, rename, delete, or reorder statuses.
Best practices:
- Use clear, action-oriented names (e.g., Needs Review, Client Feedback, Approved).
- Keep the number of statuses manageable – too many can make tracking harder.
- Inform your team about any deleted or renamed statuses to avoid confusion.
Features no longer available after the custom statuses release:
With the launch of custom statuses, we’ve made workflows in Krock.io more flexible and adaptable to your team’s needs. To ensure clarity and avoid conflicts with older fixed-status logic, several legacy features have been removed or changed.
This update focuses on giving you more control while simplifying the overall system.
Removed or Changed Features
- Approve / Reject buttons removed – Clients can now change statuses directly. A full history of changes is available in the Activity log.
- “Needs Review” button removed – This option is no longer available.
- Automatic due date highlighting removed – Previously, due dates were automatically color-coded (e.g., overdue → red). This has been disabled.
- Blurred steps for “on hold”, “in progress”, and “needs review” statuses removed – Clients will simply not see stages that are hidden from them.
- Reviewers can enable status-change notifications manually in their notification settings.
- Automatic “In Progress” assignment removed – Uploading a file no longer automatically changes a stage to In Progress.
- “Opened by client” field removed – This timestamp (when a client first opened a stage sent for review) is no longer tracked.
- Stage weights and project progress is no longer supported.
